Follow these steps:
- Eliminate personal printers: The difference in cost per page of personal printers versus shared networked printers averages $.02 per page. That’s $1,000 for every 50,000 pages printed.
- Scan when you can, print when you must: Instead of using faxing that requires more pages to be printed scan the document and send it via email. Scan all of your paper documents and when someone needs a copy of it send it digitally do not print out another copy.
- Track printing: You can do this through print management. Use print management to keep track of how much each individual prints and send published reports to each individual. Let them know how much money they are spending on printing. If seeing how much they have spent on printing doesn’t motivate them to print less then make it a competition. In each monthly report announce who in the office has used the most printing and who has used the least and offer a creative reward.
- Don’t print twice: Many employees will send a document to the printer and then realize they need to make changes to the document. Encourage employees to triple check their documents and use print preview before printing. Also, you can use a virtual print queue that stores the document and prints it once the employee has arrived at the printer and entered their password. This gives them the opportunity to think twice before printing.
